Email templates are very important and useful in GEVME. Their main purpose is to avoid having to create and build an email each time you want to send that email. They are therefore especially useful for emails that you would be sending frequently. Think of a template like a saved version of an email which you can reuse indefinitely.

The rough process for using a template is the following:

  1. Create the template (or you don't need to create it if you are going to use an existing template or a system template).
  2. Load the template in the campaigns creator or the composer.
  3. Customize the content of the template if required.
  4. Send your email.

Accessing Your Email Templates

To access the email templates of your event:

1. Click on Templates (under Emails) in the left hand navigation.

2. Under the Templates screen you will see all the templates that your event currently has.

There are 2 types of templates in GEVME:

  1. System Templates
    System templates are templates which are critical for the proper functioning of the system, and are therefore templates which cannot be deleted. These are templates created by and provided by default by GEVME and are marked with a grey System Template tag, as can be seen in the image above.
  2. User Templates
    As opposed to system templates, user templates are not critical to the functioning of the system, but are templates which will enhance the registration experience of your participants. User templates can be deleted. By default GEVME creates the following user template for your convenience:
  1. Invitation template
    Additionally, you can then create more templates for your own specific usage.

System Templates

The following are the GEVME system templates and their purpose:

  1. Order/Registration Confirmation
    This template is sent to the buyer (or main registrant):
    (1) In the case of a paid event and when full payment is made at the point of registration.
    (2) In the case of free event, or where no payment is required.
  2. Individual Attendee Confirmation
    This template is sent to the individual attendees (i.e. to each ticket holder) in the case of group registration:
    (1) In the case of a paid event and when full payment is made at the point of registration.
    (2) In the case of free event, or where no payment is required.
  3. Order Acknowledgement
    This template is sent to the buyer:
    (1) In the case of a paid event but when full payment is not made at the point of registration.
     
  4. Individual Attendee Acknowledgement
    This template is sent to the individual attendees (i.e. to each ticket holder) in the case of group registration:
    (1) In the case of a paid event but when full payment is not made at the point of registration.
  5. Waiting List Confirmation
    This template is sent to the participant when they successfully get on the waiting list.
  6. Waiting List Release
    This template is sent to the participant when a spot is released to them.

Default User Templates

As mentioned above, in addition to the system templates, GEVME also provides the following user template by default, for your convenience:

  1. Invitation
    You can use this template as the base for the invitation email to your event.
